What is an Apostille?

An Apostille is an international certification issued under the Hague Convention of 1961 (officially the Convention Abolishing the Requirement of Legalisation for Foreign Public Documents). It is a standardized sticker/stamp attached to a document by a competent authority in the issuing country, certifying the document's authenticity for use in any other member country of the convention.

In India, the Ministry of External Affairs (MEA) is the sole authority designated to issue Apostille stamps on Indian documents. The MEA Apostille is recognized by all 125+ member countries of the Hague Convention without any further legalization.

📌 Key point: Apostille replaces the traditional chain of attestation (Notary → State HRD/Home Department → MEA → Embassy) for countries that are members of the Hague Convention. If your destination country is a Hague Convention member, you only need an Apostille — not embassy attestation.

Apostille vs. Embassy Attestation – Which Do You Need?

The type of attestation required depends entirely on your destination country.

Step-by-Step Apostille Process in India

  1. Notarization
Get your document notarized by a licensed Notary Public. This is the first-level verification confirming the document is genuine.
  2. State-Level Authentication (for educational & personal docs)
For educational certificates: HRD / Higher Education Department attestation from the issuing state. For personal documents (birth, marriage, death): Home Department / General Administration Department (GAD) attestation from the issuing state.
  3. MEA Apostille
Submit state-authenticated documents to the MEA (directly or via an authorized agency). MEA verifies and affixes the official Apostille sticker — a square blue metallic sticker — to the back of the document.

💡 For commercial documents, notarization may be sufficient before MEA Apostille, without a state-level step — depending on the specific document type.

Stage Government Fee Typical Turnaround
Notary ₹100 – ₹300 per document Same day
State HRD / Home Department ₹300 – ₹700 per document 5–15 working days
MEA Apostille ₹50 per document 2–5 working days (normal); 1–2 days (Tatkal)
Total (approx.) ₹450 – ₹1,050 per document 10–25 working days end-to-end

Note: Service/agent fees are not included above. Tatkal (urgent) processing is available for MEA at a higher fee — ask us for details.

How to Verify an MEA Apostille

MEA Apostille stickers have a unique reference number. You can verify any Indian Apostille online through the MEA eSanad portal (apostille.gov.in) by entering the certificate details and the Apostille number. This is how destination country authorities verify the legitimacy of your Apostille.

Common Questions and Tips

Does Apostille expire?

The Apostille itself does not have an expiry date. However, the underlying document may have its own validity (e.g., a Police Clearance Certificate is typically valid for 6 months). Check with the authority requesting the Apostille for any recency requirements.

Can I Apostille a photocopy?

MEA only Apostilles original documents or certified true copies. A plain photocopy cannot be Apostilled. If your original is not available, get a certified copy from the issuing authority first.

What if my destination country is not in the Hague Convention?

If your destination country is not a Hague Convention member (e.g., UAE, Saudi Arabia), you need embassy attestation — not an Apostille. The process is: Notary → State HRD/Home Dept → MEA → Embassy. Attestation Expert handles this complete chain.

Can I use one attested document for multiple purposes?

Generally, no. An Apostilled document is typically used for one purpose and one country. If you need the same document for multiple countries or purposes, you will need multiple sets of originals and separate Apostilles.

Frequently Asked Questions

Is Apostille valid in Canada?

Canada acceded to the Hague Convention in January 2024, so MEA Apostille is now accepted for Canadian purposes. However, for WES credential evaluation, Apostille may not be sufficient — check the specific requirements of the requesting body.

How do I know if my document needs HRD or Home Department attestation?

Educational certificates go through HRD / Higher Education Department. Personal documents (birth, marriage, death certificates) go through the Home Department or General Administration Department (GAD) of the issuing state.

Can I get Apostille done online?

MEA has a DigiLocker-based digital Apostille process for certain documents. However, for most physical documents, the process still involves physical submission. Contact us for the latest update on digital Apostille eligibility for your specific document.

What is the difference between Apostille and Attestation?

Apostille is a simplified international certification for Hague Convention member countries — one stamp, widely recognized. Embassy Attestation is a multi-step process (Notary → State → MEA → Embassy) required for non-Hague countries like the GCC nations. Apostille is faster and cheaper where it is accepted.
